Board Positions
The board comprises the five specific positions required by FANS' statutes ('Office-bearers') and between three and five general members (General Members).
Some positions may not have a description. General Members can lead and coordinate a project of their choice, to help develop the association. For instance, some General Members focused in the past on subjects as varied as governance, continued bilingual education in the secondary and integration of a CRM system.

Main function
The President represents FANS in the community and ensures committee members fulfil their responsibilities.
Key Responsibilities

Represent FANS to broaden awareness of the association in the community, francophone agencies and associations.

Ensure that committee members fulfil their responsibilities for the smooth operation of the association.

Chair committee meetings and the Annual General Meeting.

Ensure good coordination and relations with KHPS.

Contribute to the vision of the association.
Main Activities
-
Represent FANS during activities of the association or cultural, official or community events.

Preside over the Committee and ensure that the members fulfil their responsibilities.

Chair Committee meetings and ensure agenda items are addressed, concluded, or dealt with within the deadlines.
Other activities
-
Organise and suggest activities aimed at developing/promoting the association to enhance its exposure.
Job Requirements

Present a favourable image of the association within the community.

Promote a code of conduct among members, including at committee meetings.

Be available to represent the association at external events.

Develop a good relationship with all partners.

Main Function
The Vice-President acts as President when the latter cannot assume his or her role.
He/she also provides the link between the school, the teachers of French and the association in order to ensure the objectives of the Bilingual program are met.
Key Responsibilities
-
Oversee the Management and operation of the educational programs offered by FANS.

Support the FANS President and General Manager (employee) in their respective roles and has his/her own role as liaison between the FANS Executive team of Teachers (the FET team) and the school, a role which is of paramount importance.

Represent FANS in dealings with English and French speaking families and is the parents’ representative or point of contact if an issue arises or support is required.
Main Activities
-
Participate with the FANS General Manager (employee) at FANS Executive team (FET team) meetings. The meetings usually occur at least once per term, sometimes more frequently.

Participate in quarterly meetings with the Executive Branch of the school and supporting the FANS President, the General Manager (employee) and representing the interests of FANS.

Maintain a dialogue with the FANS General Manager (employee) and follow his/her main activities.

Participate in P&C meetings (once a term) and representing the committee and supporting the FANS General Manager (employee).

Take the Minutes of the above meetings and reporting on the important matters at committee meetings.

Advise and ensure the resolution of steps aimed at consolidating and/or developing programs offered by FANS.
Other possible activities
-
The Vice-President may participate in other sub-committees aimed at developing external activities or projects related to the association.
Job Requirements
-
Regular and frequent availability during school hours (and extra-curricular) due to the number of meetings with the FANS General Manager (employee), the Executive teachers’ team (FANS FET), the school Executive Branch and the P&C association.

Demonstrate diplomacy and facilitate an effective dialogue between the school, the Committee, the FANS General Manager (employee) and the FET team.

Have a good knowledge of the programs offered by FANS, as well as an understanding of the school processes.
The Treasurer is responsible for the financial management of the association and appropriate use of resources.
Key Responsibilities
Control of the financial and administrative management of the association, including appropriate financial controls and processes.
Main activities
Control of the administrative management, budget, financial procedures, internal controls and accounts of the association.
Other activities
Develop grant applications available to the association.
Work requirements
Good knowledge of investment and management practices.

Main Function
The Secretary takes minutes of all committee meetings and ensure all items discussed are followed up. He/She is also in charge of organising the Annual General Meeting and committee meetings.
Key Responsibilities

Record and distribute meeting minutes to members of the committee and general members.

Ensure all matters are followed up and actioned.

Organise the Annual General Meeting.
Main Activities
-
Take minutes at FANS Committee meetings and the Annual General Meeting to summarize all points addressed and those requiring follow-up.

Annual General Meeting: meeting notice (signed by the Secretary), agenda and minutes.

Ensure that the document includes records of discussion topics and actions to be taken, indicate who is responsible and the deadline.

Monitor and update a list of committee members’ contact details as well as the general members, i.e. those who do not hold one of the positions required in the association framework but who actively participate in the meetings and life of the association.

Distribute this list to the members to facilitate communication between them, initially and every time a change of details occurs.

Keep all documents to give to potential candidates or use at the General Meeting.

Save and present minutes of meetings when required.

Accuracy and speedy delivery of minutes to the committee and general members so they can be used as a reference tool for matters requiring follow-up.

Main function
The Public Officer is the official contact between the association and the authorities, empowered to affix his/her signature on behalf of the association.
Key Responsibilities

Official intermediary for the association.

Approve and sign official documents on behalf of the association.

Assist the Board in matters of governance.

Liaise with external advisers such as legal counsel.
Main activities

The official contact point between the association and the authorities.

Retention of confidential documents.

Keep a copy of the member register.

General Members help develop the association’s projects in a variety of fields depending on the Member’s expertise and the Association’s needs.
